Adding a New Member — easySPEAK & Toastmasters Club Central

The complete two-system walkthrough for Cambridge Confident Communicators: create the member's easySPEAK account, register & pay for them in TI Club Central, and send them their welcome email. Written for the VP Membership — takes about 10 minutes per member once you've done it twice.

How the two systems fit together

Both must be done for every new member — they don't talk to each other.

Before you start, have to hand: Full name · email address · mobile number · home address (needed by TI) · confirmation their club payment has arrived in the Metro account.

Step 0 — Generate their temporary password

easySPEAK needs you to set a password when creating the account. Never invent one in your head.

  1. Open a password generator

    Use the LastPass online password generator (or Bitwarden's generator). Set length to 16–20 characters, all character types on.

  2. Copy the password and record it

    Keep a record in one consistent, private place (your password manager's Notes, or a private spreadsheet only officers can access) with: name, username, temp password, date created. You'll paste it into easySPEAK and the welcome email.

Tell the member it's temporary. The welcome email template below tells them they can change it (Profile menu in easySPEAK) — it's optional, but offer it.

Part 1 — Create their easySPEAK account

Where: toastmasterclub.org · You need officer rights at CCC (you have them as VPM).

  1. Log in and make sure you're in the Cambridge Confident Communicators club context

    If you land in another club, use Go to… → Select a Club.

  2. Open the Add User screen

    This Club → User List, then click the “add user” button (top right of the list). You can also reach it from a meeting page — that version adds them to that meeting at the same time.

  3. Set the connection details (top of the form)
    • Connect with status: Member (use Visiting Toastmaster for guests from other clubs, Visitor for prospective non-Toastmasters)
    • First associated: today's date is fine, or their actual join date
    • Introduced to the club by: pick whoever brought them along — feeds the club's PR stats
  4. Choose “Input full name and email”

    Fill First name, Family name and their email, then Submit. easySPEAK searches for an existing account first — if they're already a Toastmaster elsewhere it will offer Connect User instead (use that; no new account needed, no password step).

  5. Complete the Create New User form
    • Username: short and NOT their real name — easySPEAK blocks usernames matching the member's name. Initials or email-handle style works, e.g. jsmith21 → blocked if it matches; gracias00 (email handle) → fine
    • Password + confirm: paste the generated password from Step 0
    • Mobile: optional but useful for the contact list

    Click Create New User. You should see “New User Created — User has been added to this club.”

  6. Verify

    This Club → User List — they should appear with status Member.

Session timeouts: easySPEAK logs you out fairly aggressively. If a page suddenly says “Not Authorised”, log in again and re-open the form — nothing is lost.

Part 2 — Register & pay in TI Club Central

Where: toastmasters.org → Welcome, [you] → Club Central → Membership Management.

  1. Open Membership Management and click “+ Add Member”

    Make sure “Currently Managing” shows Cambridge Confident Communicators.

  2. Search for an existing TI account

    Enter Surname + email and click Search. If “Account was not found” appears, click Create Account. (If they were previously a Toastmaster anywhere, their record will be found — reinstate that instead of creating a duplicate.)

  3. Complete the Membership Application
    • Name, Gender (required), full home address (required — Country, Address, City, Nation, Postcode)
    • Email and mobile — UK mobiles: enter without the leading 0, the +44 flag field handles it (an extra/missing digit gives “Invalid Phone Number”)
    • Contact consent (Email / Mail / Phone) — select what the member has agreed to
    • Membership payment method: “I will be submitting membership payment now”
    • Tick the officer attestation (confirming a signed application is on file with the club)

  4. Submit → Membership Cart → pay

    Follow the cart through Membership Order to Payment Information and pay with the club's Metro Bank card (you're a signatory). New members pay pro-rated dues + the one-off new-member fee; check the member's payment to the club account covers it before you pay TI.

  5. Verify

    Back on Membership Management, they should appear on the roster with a Paid Until date (end of the current membership period: 31 March or 30 September).

Part 3 — Send the welcome email

Copy, replace every [PLACEHOLDER], and send. Include the password — and keep your own record of it.

the system we use to manage meetings, roles and speeches.

  Password: [TEMP PASSWORD]  (optionally change it after logging in, via the Profile menu)

Once you're in you can sign up for meetings, volunteer for roles and track
your speaking progress. Your Toastmasters International membership is also
registered, which gives you access to Pathways (the education programme) at
toastmasters.org.

In due course we'll arrange an induction with [VPE NAME], our VP Education,
to walk you through easySPEAK and your Pathways journey.

Our next meeting is [DATE / TIME / VENUE OR ZOOM LINK] — it would be great
to see you there.
